Job Description

The Document Controller role will be working collaboratively in a team environment to provide exceptional document control services for Albemarle Australia-based projects, supporting project teams in achieving project milestones and execution targets.

The Document Controller is primarily responsible for processing design and vendor project documentation in accordance with the prescribed document control procedures. The role will also assist with maintaining the Document Control SharePoint Portal, which provides document control support information for our internal customers.  

Key Responsibilities

  • Processing design and vendor project documentation in the Document Management System (DMS) in accordance with document control procedures. This includes the review, approval, distribution of new and revised controlled project documents.
  • Working with project teams, including EPC/contractors and internal stakeholders to support day-to-day controlled document requirements.
  • Ensuring that controlled documentation is processed and managed in compliance with document control procedures, maintaining governance and assurance.
  • Providing basic Aconex system support and assistance to project teams.
  • Assisting with developing and maintaining distribution matrices and workflow templates.
  • Distributing documents via transmittal to recipients in accordance with the distribution requirements, ensuring current versions of documents are issued to project parties.
  • Generating and providing reports to the project team as required.
  • Assisting with document migrations into the Project DMS, as required.
  • Ensuring that the information on the Document Control Portal is up-to-date and accurate by regularly maintaining its content.
  • Updating document control procedures and guidelines to ensure correct, consistent, and standardised processes.
  • Commitment to Health, Environment & Safety and Company best practices.

Work Experience / Technical Skill Requirements

  • A minimum of 5 years of experience as a document controller.
  • In-depth knowledge and proficiency in using Aconex.
  • Demonstrated experience in managing engineering and vendor documents using established document control practices and protocols.
  • Experience in providing support and training to end users as required.
  • Excellent verbal and written communications skills.
  • Strong attention to detail and excellent organisational skills with the ability to prioritize your own tasks, work autonomously and meet deadlines.
  • Proficiency in using Microsoft suite of products, including SharePoint/Teams, Word, Excel and PowerPoint

Education / Qualification Requirements

  • Certificate III in Business Administration, Records Management, or similar desirable.
